When your business is built around connecting African tech talent with global opportunities, every delay matters. For Conclase, creating a more connected way of working became an important part of keeping pace with the business itself.
Conclase is a technology talent outsourcing firm connecting skilled African software developers with businesses around the world. Its work depends on people, information and decisions moving quickly, from developer profiles and client requirements to contracts and project scopes.
As the business grew, however, some of that information was still moving the old-fashioned way: through individual files, email attachments and multiple versions of the same document.
That was the problem CIL helped solve.
When Collaboration Becomes the Bottleneck
Conclase's recruitment and delivery teams were managing important documents using traditional offline files. A document might move from one person to another for review, then return with edits, while different versions accumulated across inboxes and local computers.
The issue wasn't simply where files were stored.
It was how much friction the process created.
Team members sometimes had to wait for others to finish editing. Important information was less visible across the team. And finding the right version of a document could take more effort than the task itself deserved.
For a business operating in a fast-moving global talent market, Conclase needed its internal workspace to move at the same pace as its clients and candidates.
Building a Workspace Around How Conclase Works
CIL partnered with Conclase to migrate its operations to Google Workspace, but the engagement went beyond simply introducing a new productivity tool.
The focus was on creating a centralized digital environment for its teams to collaborate and access information. Rather than treating the project as a simple software deployment, CIL structured the Workspace environment around Conclase's day-to-day operations.
This included:
1. Centralized file management: Organizing Google Drive so teams could securely access client requirements, candidate profiles and project documents in one place.
2. Real-time collaboration: Enabling multiple team members to work on the same documents without circulating multiple attachments.
3. Seamless migration: Moving the team to the new environment without disrupting ongoing recruitment and operational activities.
Less Searching. Less Waiting. More Working.
The change was felt in the everyday workflow.
Tasks that previously involved sending files back and forth could now happen collaboratively in real time. Authorized team members could access files from wherever they were working, while information no longer depended on being stored on a particular employee's computer.
The platform has also remained stable since deployment, with no post-migration issues affecting the team's operations.
Most importantly, the technology became almost invisible.
The team could focus less on managing documents and more on moving work forward.
“Previously, our workflow relied entirely on traditional documents, passing them back and forth for edits. Today, our operations are distinctly more agile. We securely store and locate files on demand at any given moment. Personally, I like Google Workspace because the interface is clean, and the processing speed vastly outshines legacy alternatives.”
